Managing Mail Folders

Navigational Pane in Mail ViewAll mail coming and going from your mailbox can be organized and managed by creating folders which is very handy if you receive a high volume of email. In Mail view, the Navigational Pane displays frequently used folders display under Favorite Folders. Under All Mail Folders, there are seven default folders in the Navigational Pane.

  • Deleted Items: messages that are deleted are stored here until the Deleted Items folder is emptied. Right click over the Deleted Items folder and choose Empty "Deleted Items" Folder to permanently deleted messages.
  • Drafts: Messages that have been started but not sent are stored here.
  • Inbox: All incoming messages go here by default. Rules can se set up to automatically move messages to other folders. Learn how use Rules.
  • Junk E-mail: Outlook junk mail filter
  • Outbox: A holding area for email that is ready to be sent or has been sent, but is taking awhile to send. This feature is especially helpful for dial-up connections.
  • Sent Items: All copies of outgoing mail are stored here.
  • Search Folders: Any searches performed will create a folder in the Search Folder

 

Creating Folders

  1. If not already in the Mail Folder, click the Mail button in the left Navigation Pane
  2. Under All Mail Folders, select Mailbox - [Your Name].
  3. Right-click and from the Shortcut menu choose New Folder...

  4. The Create New Folder dialog box will appear. Under Name:, type the desired name of the folder in the textbox and click OK.

  5. The new folder will display under All Mail Folders in the Navigational Pane.

Moving Messages

To move a messages from the Inbox to a desired folder:

  1. Right-click over the message in the Inbox and choose Move to Folder...

  2. The Move Items dialog box will appear. Select the desired folder and click OK. Note: New folders can be created in the Move Items dialog box by clicking New...
